Activities are a key part of the Scarefest experience, creating fun, engaging, and adventurous opportunities for participants. We are looking for a passionate and creative individual to take the lead in expanding and enhancing our activity offering, ensuring it aligns with Scouting values and provides an unforgettable experience for attendees. Working closely with the event lead, this role will shape the event programme, introducing new and exciting activities throughout the weekend. It’s a crucial role in driving Scarefest forward and taking our activity provision to the next level.
Program Development: Work closely with the event lead to shape the activity program, ensuring a diverse and engaging range of activities throughout the weekend.
New Activity Sourcing: Research, develop, and implement new activities that align with the event themes and Scouting principles, providing exciting and meaningful challenges for participants.
Coordination: Manage relationships with activity providers and ensure their offerings complement the overall event experience, while also overseeing their arrival and setup.
Logistics Coordination: Ensure all necessary supplies and equipment are available and functioning properly, supporting the smooth delivery of activities and maximizing participant engagement.
Safety: Oversee and enforce safety protocols to provide a secure experience for all participants and team members.
Problem-Solving: Act quickly to address challenges or unexpected situations, ensuring the smooth operation of all activities.
Feedback and Reporting: Continuously review and refine the activity offering based on participant feedback and past experiences to enhance future events.
The role is fairly flexible and involves more than just the event weekend. Here’s a brief overview:
Meetings and Site Visits: We’ll start things off with online meetings and site visits to get the ball rolling and let the creative ideas flow.
Progress Meetings: Expect progress meetings focused on team building and continuous activity updates.
Pre-Event Build-Up: In the lead-up to the event, we expect the activity lead to be present from Thursday onwards to assist in-coming activities prior to participant arrival. This may need to be earlier depending on activities planned.
Event Weekend: 31st Oct – 2nd Nov 2025. During the event, you’ll be making sure all activities run to plan, supporting activity providers and assisting with any issues as required.
Post-Event: On the Sunday of the event, everything will be packed away and taken down, so there shouldn’t be any need to stay onsite post-event weekend, although there will be a team dinner on the Sunday night.
